Calendly and no-shows

Calendly books the meeting. Who makes sure it happens?

Calendly sends email and text reminders on its paid plans, and it can email a no-show a link to book again. But someone has to spot the no-show and mark it by hand first, and the follow-up is an email.

ShowsUp works alongside Calendly. It notices the no-show for you and follows up within minutes, by SMS, email or a voice call that can rebook it there and then.

What Calendly does about no-shows

Workflows send email and text reminders before a meeting, and reconfirmation messages, on paid plans. Calendly help
Marking a no-show
The host opens the meeting and selects “Mark no-show”. The option only appears after the start time. Calendly help

Where the gap is

  1. Someone has to notice

Nothing happens until a person checks the meeting and marks the no-show. On a busy day that’s hours later, if it happens at all, and the prospect has moved on.

  2. One email, then silence

A single reschedule email is easy to ignore. In one clinic study of 8,794 missed appointments, a first call rebooked 13% of patients and a second call rebooked 44%. The follow-ups after the first one do most of the work.

  3. Reaching a person matters

In a randomised trial, phoning patients before their appointment cut no-shows from 17.5% to 10.2%. Calendly’s workflows send emails and texts, not calls.

Setting it up with Calendly

  1. Connect your calendar

Sign in with Google or Microsoft. ShowsUp picks up the meetings already on your calendar, including the ones booked through Calendly.

  2. Connect Calendly too, if you like

Optional. A direct connection uses Calendly’s webhooks, which need a Calendly Standard plan or higher.

  3. Choose a sequence

Start with the default reminders and recovery, or set one per meeting type: discovery calls, demos, reviews.

  4. Let it run

Reminders go out before every meeting, and anyone who misses one hears from you within minutes.

Questions about Calendly and no-shows

Does Calendly send meeting reminders?

Yes. Calendly Workflows send email and text reminders before a meeting, and can send reconfirmation messages. Workflows are on Calendly’s paid plans.

Does Calendly detect no-shows automatically?

No. According to Calendly’s help centre, the host marks a no-show by hand from the meeting details, and the option only appears after the meeting’s start time.

Can Calendly follow up with no-shows?

Yes, by email. Once a no-show is marked, a no-show workflow can email the invitee a link to book a new time. That needs the Standard plan or higher.

Do I have to stop using Calendly to use ShowsUp?

No. Calendly keeps booking your meetings. ShowsUp handles what happens after the booking: reminders before the call, and follow-up by SMS, email or voice if the prospect doesn’t join.

Do I need a paid Calendly plan?

No. ShowsUp reads meetings from your Google or Microsoft calendar, including ones booked through Calendly. Connecting Calendly directly is optional and needs a Calendly Standard plan or higher, because it uses Calendly’s webhooks.

How does ShowsUp know someone didn’t join?

It checks attendance on Google Meet, Zoom and Microsoft Teams. When it can’t tell, it asks you with one tap instead of guessing. Zoom attendance checks need Zoom Pro or above.
